Minutes for PTA

StalFest – Meeting 1

Wednesday 16th March 2022

The PTA got together to start planning and getting ideas together for our school’s summer fair.

Dates:

Possible dates we are looking at are:

Saturday 18th June

Saturday 25th June

Saturday 9th July

Aim

To bring the community – all of it – together for a brilliant summers day out, and to make this first one the BIGGEST AND BEST we can manage, so that we set the ball rolling for future events, and interest. This will also allow us to have a higher pitch fee / entrance fee etc next year.

Theme:

It was discussed a theme would be good to tie the event together, a festival theme was agreed with the fair being called ‘StalFest’. This will also allow us to have a ‘wet’ event with a festival vibe!

· Bunting and signs – Steph can do signage. ?PTA invest in some boards for these to be displayed on. Make the signage as generic as possible, so it can be reused each year.

· Colour scheme – David and Steph will work together on the aethetics

· Hay bales

Game ideas:

Skittles, coconut shy, 100 grid square, human fruit machine, lucky dips, hook a duck, football and netball games (how many goals can you score in 1 minute), tombola, Raffle

Kids Zone:

We thought having a kid zone area would be a good idea, with a set admission price and they go on/take part in what they want to do.

· Circus skills- ask Amba and Alice

· Face painting- Steph plus someone else. Keep it simple with butterflies, flowers, rainbows

· Tattoos

· Bubble artist

· Bouncy Castle?

· Maze?

· Obstacle Course

Forest Area:

Use the forest area as a reading corner.

School Hall:

The hall would be set up to serve cream teas and somewhere for people to sit, music playing.

Food and drink:

· Burger van- local scouts? (vegetarian / vegan options vital)

· Salad Stall?

· Hog roast- Else’s butchers

· Ice cream van – at least one!

· Pizza

· Cocktail bar- floral shaker – Kate Knott

· Wriggle Valley

· Laycock Cider

· “The Swan” bar

· DIY smoothies/fruit kebabs

Stalls:

Celebrating LOCAL

· Hoping to have Police, Fire and St Johns Ambulance

· Preloved school clothes- ready for September

· Craft stalls. There is a vintage bus apparently that does craft and has vintage clothing

· Tractor

· Dikes cow

· The Gugg

· Make our own sweet cones and sell those

· Cake stall

· Local Wildlife Trust

· National Trust

· Creepy Crawly?

· Conker Gin

· Local companies which might like to donate items – we can display them as “PROUDLY LOCAL”, and then they are prizes too

o Local food and drink pitch = £25.

o Other pitches = £10

o Non-local food and drink pitch = £45

Raffle:

· A barrel of booze- wheel barrow donated by Stalbridge building suppliers?

· Prizes needed for the main raffle.

· New raffle strips needed.

· Silent auction


Events

Will need a Timetable of events and manage the pitch allocations accordingly – those who will finish early are on the edges

· PA System

· Live music / Open Mic

· Local groups to do performance – Tae Kwando / Cheer / Dance / Scouts etc

· Trial sessions

· Rock & Ribs – do they have a tepee

· Family Games – races etc – KS1 mums / dads, KS2 mums/ dads - £1 entry. Win a bottle of something

· Remote control boat races in the pool

· No Water balloons - bad for the planet and a NIGHTMARE to clear up

· Teacher in stock?

Insurance and Licenses:

· Need to research which licenses we would need, alcohol, music?

· What insurance do we need?

· Caz Coleman knows Graham at the Council and will ask him if there is any local funding we can tap into to support this.

Admission:

· Payment or donation?

· Look into a card machine- SumUp. This can take payment as well as being a cash point potentially.

· ? change stall – where people can switch notes for coins.

Advertising

We will need to have clear, informative advertising.

· Posters in every shop window and private house we can in Stalbridge

· On lamp posts

· Make sure the school website is linking to PTA

· PTA can try and set up an event website / event page from the website – which can then be used for future years.

· Blackmore Vale

· Shops in Stur – Eco Market / Garden Centres

Helpers:

For any helpers at the fair, we thought as a thank you they could have a free raffle strip.

· Create a rota so helpers get to enjoy the fair too.

· See if year 6 would like to help with stalls/games

· Could each class and their teachers be in charge of a stall for a small block of time, and then they rotate

· On the day we will have a ‘Runner’ who will go round the fair to check everyone has what they need and to make sure people are having breaks etc.

· Need a map of the school

Toilets:

· Hopefully we can use year 3 toilets and we will ask if Mandy would clean them, she will be paid for this.

· Look in to having a disabled porta loo.

· Ask Events Crew if they will consider hiring anything we need at cost?

Fundraising Focus

Set up a PTA area – to show what we do and how

· Trips, Books, Resources, supplies

· Providing support for the school community thru Uniform Sales.

· Class Reps

· Point of contact for new families

· Hoping to create a New Family Welcome Pack / Welcome Letter from PTA

· Can show what we are fundraising for (school pool cover) make a wishing well/ or use the school pool for people to throw money in.

· Thermometer showing what’s been raised.


The Set Up and Clear Up!

· Plan to have event 3pm-9pm

· Set up on Saturday Morning

· Clear up what we can on Saturday night

· Team will need to come and help clear on Sunday.
